A fee voucher and a payment receipt are not the same thing. A voucher asks a parent to pay; the school records a receipt after collecting the money. School OS keeps both steps connected to the student's fee ledger.
Start with the ledger, not a typed balance
Set up fee heads, class defaults and any manual student concessions. Generate the selected month's bills, then open Quick Collect to review the student. Previous opening arrears, unpaid past months and the current calendar month's bill form the amount payable now. Future bills stay separate from reminders.
Prepare a printable fee challan
School OS supports three-copy A4 challans and family challans. Review the school identity, student details and dues before printing. A challan is a payment request; it does not mark the bill paid.
Choose English or Urdu at send time
Fee slips and defaulter reminders support English and Urdu. Select the language, review the message and open WhatsApp's free one-by-one conversation. The message is prefilled for you to send; this does not automatically attach a PDF or confirm delivery.
Right-to-left Urdu fee messages
Urdu fee slips and reminders read right-to-left in WhatsApp. Administrators can edit the Urdu and English templates in Settings, then choose a language when preparing each message. Review student names, PKR balances and the parent’s phone number before sending. Language selection does not translate the entire School OS interface; Exam Results remains English-only.
Use aging and monthly reports to follow up
The Defaulters view separates 1, 2 and 3+ unpaid-month groups, with class filters, student search and opening-arrears labels. It excludes future bills from current dues. Monthly reports show generated bill amounts, collections and remaining balances in PKR, with class drill-down, so staff can compare collection trends before preparing reminders.
Record the actual collection
In Quick Collect, record a full or partial payment and choose Cash, Bank, EasyPaisa or JazzCash. The ledger allocates payments to opening arrears first, then the oldest bills. Sending a reminder never counts as collecting a payment.
Common questions
- Will reminders demand next month's fee?
- No. Fee reminders ask for unpaid dues through the current calendar month; future monthly bills are shown separately.
- Is free WhatsApp messaging automatic bulk sending?
- No. Free messaging opens a prefilled conversation for staff to send one by one. Exam Results also offers a separate credit-based Business Platform option.
