Frequently asked questions
What would you like to know?
Straightforward answers about fees, families, academics, payroll and getting started.
- What is School OS?
- School OS is a management and ERP platform for Pakistan’s schools, colleges and academies, connecting academic records, fee collection, staff payroll and parent communication.
- Can more than one school use School OS?
- Yes. Each institute receives its own workspace. School information and records are kept separate from other institutes.
- Who can use the system?
- School administrators and teachers use role-based accounts. Teachers see only the classes and work assigned to them, while administrators manage their institute.
- Which school operations are included?
- The current system includes students, teachers, attendance, timetables, academics, results, progress, promotions, fees, salary, announcements, WhatsApp-ready communication, printing and backups.
- Can schools print documents and report cards?
- Yes. School OS supports professional printable documents, including result cards, lists, ID cards, fee vouchers and salary slips.
- How can I ask a question before getting started?
- You can contact Smart Tech directly through WhatsApp or email from the Contact page.
- Can I send school fee vouchers on WhatsApp?
- Yes. Review current dues and prepare an English or Urdu fee message, then open WhatsApp to send it one by one. Three-copy A4 challans can be printed separately; the free message does not automatically attach a PDF.
- Can siblings in different classes share a family fee view?
- Yes. Confirm links within your institute to review sibling dues and use family collection. Each student keeps a separate ledger, and discounts are applied manually rather than automatically.
- How does teacher payroll handle holidays?
- Teacher attendance follows the school's academic calendar. Non-working dates do not create salary deductions; the daily rate uses the month's school working days.
- Can Award Lists be exported as PDF and Excel?
- Yes. Blank or recorded-marks Award Lists support all selected subjects, A4 landscape PDF and formatted XLSX export, using the same exam ordering as Fast Entry.
- Does School OS support right-to-left Urdu WhatsApp messages?
- Fee slips and defaulter reminders can be prepared in Urdu, which reads right-to-left in WhatsApp, or English. Choose the language at send time and edit the templates in Settings. This does not mean the entire School OS interface is translated into Urdu. Exam Results remains English-only.
- How are aging defaulters and fee collection trends reported?
- Defaulters are grouped by 1, 2 or 3+ unpaid months through the current month, with class and student filters and identifiable opening arrears. Monthly reports compare billed, collected and remaining PKR amounts, with class drill-down; the daybook tracks payment methods.
- Are cloud backups automatic?
- An administrator opening the workspace triggers a check for a backup within the last 24 hours; School OS creates one if needed. This is not a fixed-time scheduled job when nobody opens the app. Manual backups, private backup history, file downloads and restore are also available, with a safety backup before restore.
- How is one institute’s data separated from another’s?
- Database policies scope access by institute and role, while teachers have assigned-class and subject access. Cloud backup files are private and institute-scoped. Family links cannot cross schools, and each school’s own-mode WhatsApp connection uses its own credentials.
